After seeing hundreds of events unfold at the Overland Park Convention Center, we’ve learned a thing or two about what goes into planning on the show producer’s side of things. We’ve decided to put together a quick 5-step guide to planning a successful event at your chosen convention center.
1. Set Goals
The key word in this step-by-step guide is “plan.” You can’t have a successful event without a plan. For starters, set goals for your event. What is the objective of your event? What do you hope to achieve? Who is your event for? Is it to raise money, to have fun, or a combination of both?
Before establishing your budget and choosing a convention center in Kansas City, it’s important to have an idea of how many attendees you want to host. The number of people coming will directly affect your budget and the venue. Once you have some tangible and quantifiable goals, you can start ironing out your budget.
2. Establish Your Budget
The venue is usually the most costly part of an event, but it’s not the only aspect of the budget. You may need catering services, audiovisual capabilities, decorations, help from staff, and promotional materials to get the word out about your event. Make sure your budget is both realistic and reasonable for your financial situation.
3. Recruit Your Team
