How To Plan Your Perfect Event at a Convention Center in Kansas City

When it comes to planning the perfect event, it’s about more than finding the best convention center in Kansas City. There’s a lot that goes into planning, which is why it’s an entire job in itself!

After seeing hundreds of events unfold at the Overland Park Convention Center, we’ve learned a thing or two about what goes into planning on the show producer’s side of things. We’ve decided to put together a quick 5-step guide to planning a successful event at your chosen convention center.

1. Set Goals

The key word in this step-by-step guide is “plan.” You can’t have a successful event without a plan. For starters, set goals for your event. What is the objective of your event? What do you hope to achieve? Who is your event for? Is it to raise money, to have fun, or a combination of both?

Before establishing your budget and choosing a convention center in Kansas City, it’s important to have an idea of how many attendees you want to host.
The number of people coming will directly affect your budget and the venue. Once you have some tangible and quantifiable goals, you can start ironing out your budget.

2. Establish Your Budget

The venue is usually the most costly part of an event, but it’s not the only aspect of the budget. You may need catering services, audiovisual capabilities, decorations, help from staff, and promotional materials to get the word out about your event. Make sure your budget is both realistic and reasonable for your financial situation.

3. Recruit Your Team

Besides the convention center staff, who else will you need on your team? Will you need exhibitors, general service contractors, or other support? Whether you’re recruiting paid staff or volunteers, you will need to figure out how to communicate with these individuals and delegate responsibilities.

4. Choose a Venue

Once you have laid the foundation, it’s time to select a venue! When searching for the best convention center, it’s important to use your plan as a guide. Pay close attention to the type of spaces offered, the capacity allowed, the location, and the amenities offered

At the Overland Park Convention Center, we have a variety of different-sized spaces to choose from. You can opt for a ballroom, exhibition hall, courtyard room, or outdoor space—whatever works best for your event!

5. Let Your Event Shine!

After you decide on your event, date, and all the other small details that come with planning an event, you can sit back and let your event shine. But really, you probably will be running around instead of sitting back; us event planners aren’t very good about relaxing.
